Recruitment Privacy Policy for Wētā Workshop

At Wētā Workshop (referred to as "we", "us", or "our"), we value your privacy. This policy explains how we collect, store, use, and protect your personal information during our recruitment and hiring process.By applying for a position with us or using our career website, you agree to the terms of this policy

2. The Platform We Use

We use a recruitment management system called Teamtailor to help us manage job applications. Teamtailor is a service provided by Teamtailor AB. 

In legal terms, Wētā Workshop is the "Data Controller." This means we decide how and why your data is used. Teamtailor is the "Data Processor." This means they store and manage the data safely on our behalf.

3. What Information We Collect

We collect information that is necessary to evaluate your suitability for employment. This may include:

• Your name, email address, phone number, and physical address.
• Your CV, resume, cover letter, and work history.
• Your education history, qualifications, and certifications.
• Your right-to-work and visa status in New Zealand.
• Notes taken by our team during interviews or phone calls.
• Any other information you choose to give us through the Teamtailor platform.

4. How We Collect Your Information

We collect your information in a few different ways:

• Directly from you: When you fill out an application form on our Teamtailor career site.
• Through social media: If you choose to apply using your LinkedIn, Facebook, or other social media profiles, Teamtailor will import your public data from those sites.
• From third parties: We may collect information from recruitment agencies, background check providers, or your nominated referees. We will only contact referees that you have expressly given us permission to contact.

5. How We Use Your Information

We use your information strictly for recruitment purposes. This includes:

• Assessing your skills, qualifications, and fit for the role.
• Communicating with you about your application status.
• Verifying your information and checking your references.
• Improving our recruitment processes.

We will never use your recruitment data for commercial marketing purposes

6. Overseas Data Storage and Security

Teamtailor is based in Europe, and your data is hosted on secure cloud servers located within the European Union (EU).Under Information Privacy Principle 12 of the New Zealand Privacy Act, we ensure that your data receives a high level of protection. European data protection laws (GDPR) meet or exceed the privacy standards required in New Zealand. We use strict access controls to ensure that only authorized HR staff and hiring managers at Wētā Workshop can view your information.

7. How Long We Keep Your Data

We do not keep your information longer than necessary.

• If your application is successful: Your data will become part of your permanent employee record.
• If your application is unsuccessful: We will securely delete your personal data from Teamtailor after 12 months unless you have used the Connect feature, or submitted expressions of interest to our talent pools, or have consented to us continuing to retain it for future opportunities.

If you use Teamtailor's "Connect" feature to stay updated on future roles, we will retain your profile until you choose to disconnect or request deletion.

8. Your Rights

Under the New Zealand Privacy Act, you have the right to:

• Ask for a copy of the personal information we hold about you.
• Request that we correct any incorrect or outdated information.
• Ask us to delete your application data at any time.

9. Updates to This Policy

We may update this policy from time to time to reflect changes in our processes or New Zealand law. The latest version will always be available on our career website.
